The Retrieval Company ("we," "us," or "our") builds Recall, a desktop application for legal research. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use our software and visit our website.

The core principle is simple: your documents and research data stay on your machine (or your server, in on-premises deployments). We do not have access to them.

1. Information We Do Not Collect

Recall is designed to operate locally. When using Recall in local mode:

• We do not collect, transmit, or store your documents, case files, or any content you import into Recall.
• We do not collect your search queries, research notes, pinned excerpts, or AI-generated text.
• We do not collect or transmit embedding vectors generated from your documents.
• We do not have access to any data stored on your machine by Recall.
• We do not use any third-party AI APIs, cloud inference services, or remote model endpoints. All AI processing runs locally on your hardware.

2. Information We May Collect

2.1 Website Analytics

When you visit retrievalist.com, we may collect standard web analytics data including:

• Pages visited and time spent
• Referring URL
• Browser type and operating system
• Approximate geographic location (country/region level, derived from IP address)

We do not use this data to identify individual visitors. We do not sell or share analytics data with third parties.

2.2 Update Checks

Recall may periodically check for software updates. These requests include:

• Your current application version
• Your operating system and architecture

No personally identifiable information is transmitted during update checks. You may disable automatic update checks in application settings.

2.3 Crash Reports

If you opt in to crash reporting, Recall may send anonymized diagnostic data when the application encounters an error. Crash reports include:

• Stack traces and error messages
• Application version and operating system
• Hardware configuration (CPU, RAM, GPU)

Crash reports never contain document content, search queries, or any user-generated data. Crash reporting is optional and can be disabled at any time.

2.4 Contact Information

If you contact us via email or a contact form, we collect the information you voluntarily provide (such as your name, email address, and message content) solely to respond to your inquiry.

3. On-Premises Deployments

For on-premises server deployments of Recall:

• All data remains on your infrastructure. We have no access to your servers, documents, or user activity.
• We do not require or receive telemetry from on-premises installations.
• Software updates are delivered as downloadable packages that your IT team deploys at their discretion.
• We may collect basic license validation data (license key, number of active seats) if your deployment uses a license key. No document data or usage data is transmitted.

4. Data Storage and Security

All Recall application data is stored locally on your machine in standard operating system directories:

• macOS: ~/Library/Application Support/Recall
• Windows: %LocalAppData%\Recall

Data is stored on your local filesystem and is subject to your operating system's security controls (file permissions, disk encryption, user authentication). We recommend enabling full-disk encryption (FileVault on macOS, BitLocker on Windows) for additional protection.

5. Third-Party Services

Recall does not integrate with, send data to, or receive data from any third-party services during normal operation. There are no third-party analytics SDKs, advertising frameworks, or data brokers embedded in the application.

Our website may use minimal third-party services (such as Google Fonts for typography). These services are subject to their own privacy policies.

6. Attorney-Client Privilege

We have designed Recall with the understanding that our users handle privileged and confidential legal materials. Our architecture ensures that:

• No document content ever leaves your machine or network
• No third party (including The Retrieval Company) can access your research materials
• You maintain full control over data retention and deletion

7. Children's Privacy

Recall is a professional tool designed for legal practitioners. We do not knowingly collect personal information from children under the age of 13. If you believe we have inadvertently collected such information, please contact us immediately.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy on this page with a revised "Last updated" date. For on-premises customers with active support agreements, we will provide direct notice of material changes.

9. Your Rights

Because Recall stores data locally on your machine, you have inherent and complete control over your data. You can:

• Access all your data directly through your filesystem
• Delete all your data by removing the Recall data directory
• Export your documents at any time — they are stored in their original format
• Uninstall Recall completely, removing all application data

If you are located in the European Economic Area, United Kingdom, or California, you may have additional rights under GDPR, UK GDPR, or CCPA. Because we collect minimal data and your research data is stored locally, most data subject requests are satisfied by the local controls described above.
